Terms of use

These terms cover booking an appointment on this site and using the Rehoboth Physio & Paincare patient portal. They are about the website and the account, not about your treatment: what you consent to clinically is on the intake and consent form you sign at the clinic.

The portal

What the portal is for

The patient portal exists so you can look things up without ringing the clinic. It shows you the appointments you have coming up and the ones you have had, the balance outstanding on your own share of settled invoices, and any individual record a practitioner has deliberately chosen to share with you.

It is not your full chart, and nothing appears in it automatically - a note is visible to you only once somebody at the clinic actively shares it. It is a way to read, not a way to change: you cannot move a visit, cancel one, or edit your record from it. You never need an account to book an appointment or to be treated.

Booking

Booking an appointment online

When you finish the booking form on this site the slot is held for you straight away and you are given a booking reference. Keep it: it is what the front desk looks you up by.

The clinic is told about every online booking and still checks it against its own diary. If the time, the practitioner or the service has to change - a practitioner is out, or what you have described needs a different appointment - reception will call you to agree a new one. Bring photo ID and your insurance card to your first visit.

Online booking is only open a limited number of days ahead, and only for the services and slots the diary can actually offer. If what you need is not there, call +1-345-329-8585 and reception will find you something.

Changing or cancelling a visit

You cannot move or cancel an appointment from the portal. To change or cancel, please call the clinic you are booked into - its name and phone number are on the appointment in your portal - or call the main line on +1-345-329-8585 or 525-8686.

Please give the clinic as much notice as you can: a slot you release is a slot somebody waiting can have. [TO CONFIRM: how much notice the clinic asks for to cancel or move a visit, and whether a charge applies to a late cancellation or a missed appointment]

Your account

Your account, and what you tell us

  • Your password is yours to keep private. The account gives access to your health information, so do not share the password or let anyone else sign in as you. Nobody at the clinic will ever ask you for it, and nobody at the clinic can look it up. If you think somebody else knows it, change it and tell us.
  • Anything done while signed in as you counts as done by you, so sign out on a shared or public computer.
  • What you submit has to be accurate. Your name, date of birth, contact details, insurance details and everything on the intake form are relied on for your care and for your claim. An out-of-date policy number delays a claim; a wrong or missing detail in your health history can affect what a practitioner does. Please keep them current and tell us when something changes.
  • An account is for the patient it belongs to. If you are booking or completing forms for a child or for someone you are responsible for, you must be their parent or guardian, or otherwise entitled to act for them - the intake form records a guardian's name and signature where the patient is a minor.

Not for anything urgent, and never for an emergency

Please call the clinic for anything urgent - the portal is not monitored. There is nothing in it that reaches a practitioner quickly, and messages, forms and records in it are read in clinic hours only.

If you have a medical emergency, do not use the portal or email: call the emergency services or go to the nearest hospital emergency department.

Misuse

Accounts we may suspend

The clinic may suspend or close an account, or stop taking bookings from it, if it is being misused: attempts to reach somebody else's record, sign-ins that are not the patient or someone acting for them, details submitted that are deliberately false, bookings made with no intention of attending, or anything that interferes with the site or with other patients' use of it.

Suspending an account does not close your patient file and does not affect your treatment or your right to be seen. Where we can, we will tell you why and what to do about it - call the clinic and ask.

Payment

Payment and insurance

This restates the Assignment and Release you sign on the intake form. Where the two differ, the signed form is what counts.

Where you have insurance cover, you assign your insurance benefits to Rehoboth Physio & Paincare and the clinic bills your insurer directly, so you are not asked to pay the insurer's share up front and claim it back. You also authorise the clinic to give that insurer and its agents the information needed to assess and pay the claim.

You remain financially responsible for all charges, whether or not the insurance pays them. What your policy covers is set by your policy, not by the clinic: a plan pays a share rather than the whole fee, a yearly allowance is spent island-wide at every provider you visit, and an insurer pays only up to the amount set for each treatment code in the published fee schedule. Anything above what the insurer settles - your percentage share, an excess, an exhausted allowance, a visit your plan does not cover - is yours to pay.

The front desk asks your insurer what your plan pays and tells you the share it states before treatment starts, and the settled amount appears on your invoice afterwards. Fees are displayed at reception in every clinic. Balances shown in the portal are your own share of invoices that have already been settled with the insurer, so a visit only appears there once the claim has come back. Any figure in the portal is a statement of the clinic's record at that moment, not a final account - if you think it is wrong, call us.

Governing law, and changes to these terms

The clinic may change these terms; the date at the top of the page says when the current version took effect. Nothing here limits any right you have as a patient, or any obligation the clinic has, under the law of the Cayman Islands.
